Volunteer credits

We offer credits to volunteer helpers at our events that can be used towards future event entries, club kit and more. After any event you help at, you will be awarded an amount of volunteer credits. These are tracked and administered in the SiEntries system as described below

Using volunteer credits for future entries

Credits earned helping at LOC events can only be used against future LOC events (not those of other clubs). Enter any LOC event as normal via SiEntries. After saving your entry and heading towards payment you will be given an option to user any remaining balance on your credits towards the total entry fee. It will default to paying with your available credits, but if you don't want to you use them you can untick the boxes. You can use credits from multiple events you helped at towards a single entry. Or you can use less than the value of a single credit towards a smaller entry fee (and the remaining balance will be available for future). If there is still a balance to pay after using any credits, it is paid as normal with credit/debit card on the following screens.

Checking your volunteer credit balance

Login to your SiEntries account and go Update My Details. Scroll down to near the bottom of page where you will find a section like this showing the volunteer credits that have been issued to you.

You can expand to see what they were for, their original value, what has been used and what is remaining, for example like this:

Do volunteer credits expire

Volunteer credits are available for 4 years after the event you earned them at. This should be ample time to use them.

Who can use my volunteer credits

Your credits can be used by anyone that you enter via SiEntries. So for example, if a single person in the household always does the entries from their SiEntries account, then any credits on their account can be used towards the whole family's entries. Similarly we will endeavour to add credits for anyone in the family volunteering to the account of the person who typically makes the family's entries. If we get this wrong, just let us know and we can move them to someone else's account.

Can I get an entry discount code instead of volunteer credits

No. In the past we offered you either a discounted entry for the event you were helping at (via a discount code in SiEntries), or physical vouchers for entering a future event. Now we just award volunteer credits to be used against future event entries (or other uses described below). This is much simpler to administer (rather than working out which helpers used the discount code and which others need credits). You can of course use volunteer credits that you earnt at a previous event towards the next event you are helping at, when you earn some more to use at a future event, and so on!

Can I use volunteer credits for entry on the day

No. This was possible with the old helper vouchers. However it is more awkward to manage with volunteer credits, so you can only use them for pre-entries. While we recognise some people enter on the day for various reasons, most people pre-enter a future event at some point and will have ample opportunity to use their volunteer credits.

Using volunteer credits for club kit

You can use your credits as full or part payment towards club kit. Just tell the Clothing Officer and Membership Secretary how many credits you want to spend, the Membership Secretary will deduct that amount from your remaining balance in SiEntries (checking you actually have that much available!), and the Clothing Officer will tell you how any remaining amount is to be paid for the kit.

Using volunteer credits for relay or CSC entries

Entries for British and JK relays, and Compass Sport Cup rounds, are made centrally by our Relay Coordinator or Club Captain and then individuals pay LOC by bank transfer (which may be subsidised by the club). If you want to use available credit towards these entries just tell the Relay Coordinator (for relays) or Club Captain (for CSC entries), and Membership Secretary, and the Membership Secretary will deduct that amount from your remaining balance in SiEntries. 

Using old helper vouchers

The LOC Voucher Scheme is deprecated, replaced by Volunteer Credits described above. This make things easier for our series coordinators, organisers and SI Team to administer, and easier for you to use. You can still use existing physical vouchers at the 2025 Night Urban Series and Turkey Trots, or for purchasing club kit until end of 2025. Alternatively, or if you have any physical vouchers left at the end of the year, please count them up, let the Membership Secretary know how many you have, and they will convert them into credits in SiEntries to use as described above. Please then destroy your old physical vouchers! You have until end March 2026 to convert your old physical vouchers to volunteer credits in SiEntries.
