Data Privacy Policy

The General Data Protection Regulations (GDPR) 2018 imposes rules and safeguards on those who hold and process personal data. 5th July 2018.

Lakeland Orienteering Club (LOC) is committed to protecting and respecting your privacy. LOC is responsible for storing and otherwise processing the personal data you provide for the purposes of your membership in a fair, lawful, secure and transparent way.

How LOC collects your data:

You may give LOC information about yourself by filling in forms at an event or online, or by corresponding with LOC by phone, email or otherwise. The data may be obtained directly from an individual or a family member, or indirectly from one of the national orienteering bodies.

LOC may sometimes collect personal data from non-members (as part of event registration or administration, for example).

The data held:

LOC and its officials may hold some or all of the following data about any members and others who compete in orienteering events: name, postal address, email address, telephone numbers, year of birth, gender. The club may also hold details of organisation, planning or coaching experience and relevant qualifications, courses attended and events officiated. Contact data is also held of landowners and other organisations with whom we co-operate, their employees, agents and tenants for the purposes of event organisation. Orienteering-related photographs may also be held. The data may be held in electronic or paper form.

It may sometimes be necessary to collect personal health data for safety purposes at training events or competitions. This information will be kept separately and like other data, only with your consent and only for the time it is needed.

How LOC uses the data:

The data is used in organising the sport of orienteering and for social purposes within the club, including but not limited to: distribution of newsletters, club information and details of competitions and events, coaching, team selection, training and appointment of officials. LOC does not pass your personal data to third parties outside the club, unless required for legal or insurance purposes.

How long LOC will keep the data:

LOC will hold your personal data on file for as long as you are a member. In order to comply with the requirements of British Orienteering insurance, the data LOC holds about event participants will be stored for five years.

If you do not wish to receive mailings (by email, post or other means) or other non-administrative communications from LOC, or do not wish photographs of yourself or your children to be published, or you believe that the data held by LOC about you is incorrect, please contact the Membership Secretary.
